Terms of Service | Hafoso

1. About these terms

These terms apply when you create a workspace on Hafoso, use it, or visit hafoso.com. By signing up or using the service you agree to them. If you sign up for an organisation, you confirm that you are at least 18 and allowed to accept these terms on its behalf; "you" then means that organisation.

2. Your account and workspace

Give accurate information when you sign up and keep it up to date.
Keep your sign-in details safe. You are responsible for what happens in your workspace, including the people you invite and the roles you give them.
Tell us straight away if you think your account has been misused.

3. Plans, payment and renewal

The Starter plan is free, with the limits shown on our pricing page. Paid plans and add-ons are billed monthly or yearly, in advance, in VND or USD.
Subscriptions renew automatically at the end of each period until you cancel. You can change or cancel your plan at any time from your billing page; the change applies as shown there.
Payments are handled by our payment providers. Prices exclude taxes unless stated; applicable taxes such as VAT are added at checkout.
Fees already paid are not refunded, except where the law requires it or we agree otherwise in writing.
If a payment fails, we will let you know. If it is not settled, your workspace may move to the free plan and its limits.
We may change our prices. Changes apply from your next renewal, and we will tell you at least 30 days in advance.

4. Your content and data

You own the content you add to Hafoso: your pages, files, form entries, cases and records. You give us permission to host, copy and display it only as needed to run the service for you. You can export your data while your workspace is active.

When you collect personal data from your own customers, employees or visitors, you are responsible for having a lawful basis and their consent where required, for telling them how you use it, and for answering their requests. We process that data on your behalf as described in our Privacy Policy.

5. Acceptable use

You must not use Hafoso to:

break the law, or publish content that is illegal, deceptive, hateful or infringes the rights of others;
send spam or messages people have not agreed to receive;
collect personal data without a lawful basis, or phish for passwords or payment details;
upload malware, or try to break into, overload or disrupt Hafoso or other workspaces;
get around plan limits, or copy, resell or reverse engineer the service.

6. Websites and custom domains

Every workspace gets a Hafoso subdomain. On plans that include it, you may connect a domain you own once it is verified. You remain responsible for the domain, its renewal and the content published on it.

7. Professional services

Setup, design, data migration, integration, AI, consulting and training work is agreed in a separate quote or statement of work. That document sets its scope, price and timeline, and these terms apply to anything it does not cover.

8. Availability, changes and new features

We work to keep Hafoso available around the clock and aim for 99.9% uptime, but we cannot promise it will never be interrupted, for example during maintenance or events beyond our control. We keep improving Hafoso and may change or retire features; we will give notice before removing something you rely on. Features marked "Coming soon", beta or preview are provided as they are.

9. Our intellectual property

Hafoso, its software, design and brand belong to us or our licensors. These terms give you the right to use the service, not ownership of it. If you send us feedback, we may use it to improve Hafoso without obligation to you.

10. Suspension and closing your workspace

You can close your workspace at any time.
We may suspend or close a workspace that seriously or repeatedly breaks these terms, puts others at risk, or where the law requires it. Where we reasonably can, we will warn you first and give you time to fix the problem.
After a workspace is closed you have 30 days to ask us for an export of your data. After that it is deleted as described in our Privacy Policy.

11. Liability

To the extent the law allows, Hafoso is provided "as is", and we are not liable for indirect or consequential losses such as lost profits, revenue or data. Our total liability for any claim related to the service is limited to the fees you paid us in the 12 months before the claim. Nothing in these terms limits liability that cannot be limited under Vietnamese law.

You are responsible for the content you publish and collect, and you agree to compensate us for claims by third parties that arise from it or from your breach of these terms.

12. Changes to these terms

We may update these terms. We will post the new version here with its date and tell account holders at least 30 days before important changes take effect. If you keep using Hafoso after that, the new terms apply; if you do not agree, you can close your workspace.

13. Governing law and disputes

These terms are governed by the laws of Vietnam. We will first try to resolve any dispute by talking with you. If we cannot agree within 30 days, the dispute will be settled by the competent court in Ho Chi Minh City.

If these terms and the Vietnamese version differ, the Vietnamese version applies.
